Moving Accounting from Excel to Software: A Step-by-Step Migration Plan

When Excel stops working, how to migrate safely: choose a cutover date, reconcile balances, clean masters, import opening balances, run in parallel and set a monthly routine.

    Quick answer

Pick a clean cutover date (ideally 1 April or a month start), reconcile your Excel books to bank and GST records as of that date, clean up customer, vendor and item lists, import opening balances and outstanding invoices, then run both systems for one month before switching fully.

    Signs you have outgrown Excel

    • You cannot quickly tell who owes you money and since when.
    • GST returns take days because data is scattered across sheets.
    • Formulas break and nobody knows which version is correct.
    • Your CA asks for the same reports again every quarter.
    • More than one person edits the file.

    The migration plan

    1. 1Choose the cutover date and freeze the old workbook up to that date.
    2. 2Reconcile bank balances, cash, GST ledgers, receivables and payables.
    3. 3Prepare masters: customers, vendors (with GSTINs) and items (with HSN/SAC and rate).
    4. 4Set up the chart of accounts — keep it simple and consistent.
    5. 5Enter opening balances and unpaid invoices/bills individually so ageing works.
    6. 6Run one month in both systems and compare the trial balance.
    7. 7Switch fully, archive Excel and keep it for the retention period.
    Taxpex tip

Use the Taxpex HSN/SAC Finder to fill missing HSN codes in your item list before importing — it is the most common gap in Excel-based businesses.

    Watch out

Software migration does not fix wrong opening balances. If your Excel books do not reconcile with the bank, fix that first.
