Accounting Software for Small Business in India: 2026 Buying Guide
How to choose accounting software in India: GST billing, books, bank reconciliation, reports, user access, data export, migration and total annual cost — with a scoring checklist and price comparison method.

Quick answer
Choose accounting software by fit, not by brand. Check five things: GST invoicing that matches your sales, complete double-entry books, bank reconciliation, reports you actually use, and clean data export. Then compare total annual cost, including users, add-ons and professional services, rather than headline price.
Small businesses in India usually start with invoices in Word or Excel, move to a billing app, and only later realise they need complete books. Buying the right software early saves a painful migration and gives your CA reliable numbers for GST, TDS and income tax.
Step 1: Define your requirements
Question
Why it matters
B2B, B2C or both?
B2B needs customer GSTINs, place of supply and possibly e-invoicing
Goods or services?
Goods may need inventory and e-way bills
How many GSTINs/branches?
Multi-registration support varies by plan
Monthly invoice volume?
Affects plan limits and speed
Who will use it?
Owner, staff and CA need different permissions
Do you need payroll or inventory?
Often sold as add-ons
Step 2: Must-have features
GST-compliant invoices with HSN/SAC, tax split and credit/debit notes.
Double-entry ledgers, not just a sales list.
Purchase and expense recording with input tax credit tracking.
Bank statement import and reconciliation.
Profit and loss, balance sheet, cash flow, receivables and payables ageing.
GSTR-1 and GSTR-3B ready data or exports.
Role-based access and an audit trail of edits.
Export to Excel/CSV so you are never locked in.
Watch out
From FY 2023-24, companies must use accounting software with an audit trail (edit log) that cannot be disabled, under the Companies (Accounts) Rules. If you are a company, confirm this explicitly.
Step 3: Compare total annual cost
Cost item
What to check
Subscription
Monthly vs yearly price, GST extra or included
Users
Extra cost per additional user
Add-ons
Inventory, payroll, e-invoicing, extra GSTINs
Migration
Opening balances and data import help
Professional work
Bookkeeping and return filing are usually separate
As an example of transparent pricing, TAS by Taxpex is priced at ₹199 per month or ₹1,799 per year. Twelve monthly payments total ₹2,388, so the yearly plan costs ₹589 less over the same period. Compare any software on the same 12-month basis.
Step 4: Test with your own transactions
During a demo or trial, enter one sale, one purchase, one expense, one receipt and one credit note from your real business. Check the ledger entries, GST summary and reports. If anything is unclear in a five-minute test, it will be painful every month.
