    The Small Business TDS Compliance Calendar — Never Miss a Deadline Again

    Every TDS due date for payments, deposits and returns — laid out month by month with the penalty for missing each one.

    TDS is the most penalty-heavy compliance area in the Income Tax Act. A missed challan triggers 1.5% per month interest, a late return adds ₹200/day under 234E, and persistent default can disallow 30% of the entire expense under Section 40(a)(ia).     Form 16 / 16A issuance

    Lower / nil deduction certificates

    Form 13 lets the deductee apply to the assessing officer for a lower / nil TDS rate when the projected tax liability is lower than the statutory TDS rate. Common for startups in initial loss years, NRIs selling property, contractors with thin margins. The order specifies a validity period — share it with every deductor to avoid full-rate TDS.

    Correction returns

    Mistakes in TDS returns — wrong PAN, wrong section, wrong amount, wrong date — must be fixed via a correction statement. There's no due date, but every quarter the defaulted PAN remains uncorrected, the deductee can't claim credit and starts complaining loudly. Fix within 30 days of detection.

    Common operational mistakes

    • Deducting TDS but depositing into a non-TAN account — credit isn't traceable.
    • Mismatched name and PAN — defaults appear on TRACES.
    • Splitting a single contract to stay below threshold — section 194C aggregation catches this.
    • Not deducting on reimbursements paid to professionals — section 194J still applies.
    • Treating section 194Q (TDS on purchase of goods) as 194O (e-commerce) — wrong rate.

    Reconcile your TDS deducted vs deposited monthly. The cumulative number on TRACES should match your ledger to the rupee. A 50-rupee mismatch left for a year compounds into a default trail.

    TRACES — your single source of truth

    TDS Reconciliation Analysis and Correction Enabling System (TRACES) is where everything lives — challan status, return filing, correction status, Form 16/16A download, default summaries. Register the same day you obtain TAN. Check the dashboard at least monthly.

    1. 1Pull a list of all deductible payments from accounting system.
    2. 2Verify TDS section, rate and threshold for each.
    3. 3Generate challan ITNS 281 and deposit by the 7th.
    4. 4Update TDS ledger; tag each entry to the deductee PAN.
    5. 5At quarter-end, prepare 24Q / 26Q / 27Q in FVU format, file via TIN-FC or NSDL.
    6. 6Download Form 16A from TRACES and email to each deductee within 15 days.

    TDS isn't complicated — it's relentless. Build the monthly routine, automate where you can, reconcile every month against TRACES. Do that and you'll never see a 234E demand or a 40(a)(ia) disallowance.
